How to Automate Business Processes with AI
AI makes it possible to automate work that used to need a person to read, interpret or decide. But the method matters more than the model. Here is the five-step approach we use.
7 min read ·
1. Find the right process
Look for work that is frequent, repetitive and costly when delayed — data entry from documents, answering the same questions, chasing approvals, copying between systems.
2. Map how it works today
Write the process as steps: what triggers it, what information is needed, which systems are touched, who decides and what the output is. Most automation opportunities become obvious at this stage.
3. Decide: rules or AI?
Use simple rules where logic is clear and inputs are structured. Use AI where inputs are unstructured — emails, PDFs, photos, free text — or where judgement is needed within defined limits.
4. Build with human checkpoints
Automate the routine path end to end, and route exceptions to a person with context. Start supervised; reduce checkpoints as accuracy is proven.
5. Measure and improve
Track volume processed, time saved, exceptions and errors. Use real exceptions to improve prompts, rules and integrations.
