AI Automation vs RPA

RPA copies what a person does on a stable screen. AI automation reads inputs that are not stable — PDFs, photos, emails, chats — and turns them into a decision your rules can finish. Buying the wrong one produces a bot that breaks every time a vendor changes a template.

Choose RPA when the path is fixed

If the same fields are always in the same place and the only problem is that a person copies them between two systems, a script or RPA is enough. Adding a language model there is cost without a benefit.

Choose AI automation when the input is messy

Invoices in different layouts, WhatsApp enquiries, challans photographed on a loading dock, and emails that mix languages are where AI earns its place. It should still hand a structured result to rules: validate, route, approve, post.

Use both when the process has both problems

A common pattern is AI for the document and RPA or an API for the posting. Prefer an API when the target system has one. Screen-clicking is a fallback, not the design.

A test before you buy

Take ten recent cases. If a junior can follow a screenshot checklist for all ten, start with workflow rules. If they have to interpret the document first, start with AI automation and keep a person on the failures.

Frequently asked questions

Is AI automation replacing RPA?

No. They sit on different steps. RPA is brittle on changing documents and strong on repetitive screen work. AI is the opposite. Yulogo will recommend the simpler tool when it is enough.
